Fulfilment and documents

Goods move. Papers move with them.

Collection, transport, the border, clearing and delivery - tracked as its own status, with the documentation held as transaction records rather than loose attachments.

Cross-border movement creates failures that domestic e-commerce never sees: documentation that does not match the consignment, customs delays, rejected loads, transport incidents and short deliveries. AfrexMarket is built on the assumption that a meaningful share of orders will not follow the ideal path, and that the exceptions need somewhere to live.

The fulfilment record

Assignment

Carrier, collection point, collection date, shipment reference, vehicle or tracking information where the carrier provides it, expected crossing and estimated arrival.

Movement

Supplier notified, preparing, ready for collection, collected, in transit, at border, customs processing, cleared, out for delivery, delivered.

Proof

Delivery confirmation and proof-of-delivery records are attached to the order and the transaction is closed as completed.

Exceptions

Payment mismatch, supplier failure, quotation expiry, missing documentation, customs delay, partial delivery, damaged goods, cancellation, financial reversal. Each carries an owner, a status, notes and a resolution history.

The documents that travel

Commercial

Requirement specifications, supplier quotations, purchase orders, commercial invoices, packing lists and delivery notes.

Regulatory

Certificates of origin, export and import permits, health certificates, phytosanitary documents and customs records, according to what the goods require.

Controlled

Every document is attached to a company, request, quotation, order, shipment, payment or dispute. Access is controlled so that commercially sensitive buyer, supplier and financial information does not become visible to parties who should not see it.

We coordinate. We answer for the coordination.

AfrexMarket does not own trucks and does not clear customs. We appoint partner transporters and licensed clearing agents, and we answer for the coordination between them, the supplier and you.

Early on, a good deal of status updating is done by our operational staff rather than pulled from a carrier system, because not every regional carrier offers one. That is a staffing reality, not a data-model limitation - the record is built for carrier integrations when they exist.
